REQUEST FOR PROPOSAL - PROVISION FOR BUILDING SERVICES
Background
The Pacific Islands Forum Secretariat invites local services providers to tender for the provision of building services for its headquarters located at Ratu Sukuna Road, Suva.
Electronic tenders are invited for the following services:
• Services for the Maintenance of Air Conditioning Systems
• Services for Fire Alarm and Fire Safety Equipment
• Services for Integrated Pest Management (IPM)
• Services for Waste Recycling and Disposal
• Health & Hygiene Services
• Servicing of Standby Generator
Purpose
The bidders will be evaluated based on merit and on the evaluation criteria and the successful candidates will be offered a 3x year service contracts to provide the services at the Secretariat’s facilities.
Tender Specifications
• All Tenderers are to detail servicing specifications for each of the services tendered based on the Terms of Reference and survey of equipment for each building.
• A detailed schedule of costs is to be provided for each service.
• A detailed schedule of proposed servicing timeframes is to be provided.
Tender Conditions
• All tenders must accompany a business profile of the company submitting tender and shall include copies of PL Insurance Cover, copy of latest bank statement and relevant references for reference checks during the evaluation process.
HOW TO APPLY
Submissions should be labelled: “RFP – PROVISION FOR BUILDING SERVICES –(NAME OF SERVICE)"
Method of Submissions
Submissions must be electronically submitted and should be converted to PDF Format.
Note: Tenders must be submitted with clear labelling of the technical offer and the financial offer.
Deadline for Submissions
Submissions need to reach the Secretariat by 4.00pm on Friday 13 November 2020 (Fiji time). Late or incomplete tenders will not be considered.
Question and Answer
All queries or requests for information must be submitted in writing via the Question and Answer Forum on www.tenders.net/forumsec before the stated “deadline for requesting clarifications” by 2:00pm on Tuesday 10 November 2020. The Secretariat has no obligation to provide clarification after this date.
Site Visit
Request for a site visit appointment (stating preferred date and time) must be emailed to procurement@forumsec.org and will be carried out no later than 2:00pm, Wednesday 11 November.
Note: The Secretariat will not be responsible for non-receipt/non-delivery of the Bid documents due to any reason whatsoever.
Any complaints regarding the Secretariat’s tender must be directed to the following email: Tender.Complaints@forumsec.org. This email address will forward your complaint to a person that is independent and removed from the tender process. Complaints must be well founded and should not be used as a mechanism for notifying displeasure with the outcome of a tender award. In the event that further information is required by the Secretariat in relation to the tender for consultancy, the Secretariat reserves the right to seek the required information without the need for calling for resubmission of proposals.
