REQUEST FOR TENDER
INFORMATION SERVICE PROJECTS
The Pacific Islands Forum Secretariat (PIFS) is seeking to improve its Information Services capacity and implementation of document management system which includes archiving and digitization from reputable vendors.
All proposals will include knowledge transfer, mentoring and working with the PIFS staff. All vendors are expected to make a presentation on their bids on request within 2 working days.
The services are expected to be delivered within 1 month after being awarded.
a.) Propose and Supply solutions for the following Terms of references (TOR) :
i.) Cloud services improvements
ii.) Cabling systems and capacity improvements
iii.) Continuous service improvements
iv.) Strategic planning and Library service upgrade
b.) The vendor may bid for any or all of the terms of reference
c.) The Secretariat reserves the right to:
i.) Withdraw or cancel any or all items listed above;
ii.) Is not bound to accept the lowest or any tender and reserves the right to award the service provider at its sole discretion and convenience without assigning any reasons; and
Accept or reject any proposal without thereby incurring any liability to the affect Bidder

Method of Submissions:
Interested Vendors are encouraged to provide written submissions to address the eligibility criteria and response, also should attach their company resume.
Interested suppliers should forward their Expression of Interest which first should be converted to the PDF format, max.10.0MB and submit electronically following the instructions at www.tenders.net/forumsec.
*All interested bidders will need to register at www.tenders.net/forumsec.
Deadline for Submissions:
Submissions need to reach the Forum Secretariat by 4:00pm (Fiji time) Wednesday 5 October 2022.
Late or incomplete submissions will not be considered.
Question and Answer:
All queries or request for information must be submitted via the Question and Answer Forum at www.tenders.net/forumsec. Tenderers may submit questions in writing to the mentioned Question and Answer Forum before 4.00pm, Tuesday 4 October 2022 (Fiji time).
The Secretariat has no obligation to provide clarification after this date.
Note: The Secretariat will not be responsible for non-receipt/non-delivery of the Bid documents due to any reason whatsoever.
Any complaints regarding the Secretariat’s tender must be directed to the following email: Tender.Complaints@forumsec.org.
