Hepburn Shire Council is seeking submissions from suitably equipped providers to form a Panel of Suppliers for the hire of plant, equipment, and vehicles for (dry) work packages across the Shire over a two (2) year period. The contract offered will include the ability for two extensions of one (1) year each.
Successful tenderers will be appointed to the Dry Hire Panel and called-upon to supply plant, equipment or vehicles when needed by Council from 1 January 2024 through to 31 December 2025.
How it Works:
1. Once a Package of Works is drafted, an offer will be made to a preferred Panel Supplier at Council’s discretion. The Panel Supplier is not obliged to accept any offer made to them by Council. If unaccepted, the offer will be redirected to another supplier.
2. Prior to commencement of each awarded works package, the preferred Panel Supplier and Council’s Works Coordinator will negotiate the scope of the works and any supplementary costs that may be applicable.
3. Upon mutual agreement, a purchase order will be raised for the package of works. Once approved, the purchase order will be sent to the appointed Panel Supplier. In line with Council's Procurement Policy, the Panel Supplier shall not commence any works until the approved purchase order is received.
4. Upon completion of the works, the Panel Supplier will send an invoice to Council for the agreed package, quoting the purchase order number, so the Works Coordinator can approve and then receipt the invoice.
Payment Terms are 30 Days.
Rates sought from potential Panel Suppliers in this tender will be fixed for a period of twelve (12) months. Please refer to the specifications for a list of the type of plant and equipment sought, suitable for roadside civil works and parks & community landscaping. Tenderers are under no obligation to provide rates for goods or services that they deem to be outside of their core business or that they are unable to provide.
