Council is seeking quotations for the printing and distribution of rate notices for the 2016/2017 financial year, with an option to extend for a further two years.
Annual Rates Notice (1st Instalment)
To be printed August, mailed not later than 31 August
Up to 3 additional inserts to be included.
Turnover time frames must specify time from initial data being received; data to be processed; proofs returned to Hepburn Shire Council for review; printing post acceptance of proofs; and distribution to Australia Post.

Pricing and printing options requested: The 1st instalment rate notice requires four variants to be produced. 1. Standard Notice; 2. Ten instalment plan; 3. Standard Notice with tip pass coupon; and Ten instalment plan plus tip pass coupon. The tip pass coupon is to be printed as a perforated tear-off slip advising eligible properties of the need to collect their tip vouchers. Two print options are sought; 1. Perforation to be included on extended A4, or 2. Rate notice to be printed on A3, full colour, with perforated coupon.
Tip Vouchers
Printing of approx. 24,000 Tip Vouchers. Tip Vouchers are to be printed on high gloss paper, include unique id numbers, reproduction minimisation elements, (e.g. micro print, watermarks}, sized to enable ease of use when receiving in lieu of payment; either precut to size and bundled in packs of 12, or perforated sheets of 12. Alternate methods for supply of tip vouchers will be considered, please specify.
Subsequent Instalment notices
(Only one variant will be required)
Instalment 2 – printed and distributed no later than 31 October (Due 30 November)
Instalment 3 – printed and distributed no later than 31 January (Due 28 February)
Instalment 4 – printed and distributed no later than 30 April (Due 31 May)
Timeframes required as for annual rates notice specified above
Printing of inserts to be included with Annual Rates Notices
Up to three additional inserts are to be included with the Annual Rates Notice. Please provide pricing for each of the following:
Black and white double sided
Two colour double sided
Full colour brochure double sided, DL folded
Animal Renewal Notices
To be printed and distributed no later than 20 March.
